This Guideline for Participation (hereinafter referred to as the Guidelines) outlines the common principles for the overall operation and management of the Seoul Conference 2025. This Guideline may be revised by the Secretariat of Seoul Conference 2025 following meetings of the local organizing and executive committee. The Secretariat requests that all institutions and individuals participating in the Conference adhere to the Guideline below.
- ■General Information
- •All paper presentations should be an original piece of research.
- •The IARS Seoul Conference 2025 will be held entirely in person. All attendees are required to present on-site in Seoul, South Korea, in order to participate.
- •The official language of the Seoul Conference is English, and all presentations must be delivered in English. However, on special occasions, presenters may deliver their presentations in Korean provided that a simultaneous interpretation system between Korean and English is adopted.
- •Each individual may give up to two presentations at the Conference, regardless of the type of submission. Additionally, individuals may take on multiple roles, such as chair, discussant, or organizer. However, the same person may not appear on the program more than three times in total.
- •The Secretariat of the IARS Seoul Conference 2025 will consider an individual’s appearances on the entire program and may adjust a person’s number of participation to ensure the diversity and inclusivity of the event.
- ■Submission Types
- •Individual Papers
- -A submission type where an individual submits a paper proposal to the Conference.
- -Individuals must submit a proposal, including personal information, title, and abstract, author’s bio through an online submission system by the deadline announced by the local organizing committee.
- -All co-authors must be listed.
- -Submitted proposals will be reviewed and selected by the local executive committee of the Seoul Conference 2025. Accepted proposals will be grouped into a panel, and each panel will follow the basic format of the Conference (3 presenters and a chair).
- -All proposals must be written in English only.
- •Group Panels
- -A submission type where an organizer (an individual or an institution) submits a proposal of a closed panel.
- -An organizer must submit a proposal for an entire panel, including titles, abstracts, and personal information and presentation information of all participants in the panel, through an online submission system by the deadline announced by the local organizing committee.
- -Each panel lasts 90 minutes, and follows the basic format of the Conference (3 presenters and a chair). However, modification in format, such as adding a discussant, may be applied at preference.
- -The official language of the Conference is English. However, simultaneous interpretation from Korean to English may be included with the interpretation fees covered by the coordinator. However, all proposals must be written in English only.
- •Alternative Sessions
- -A submission type where an organizer (an individual or an institution) submits a proposal of an alternative event, such as book talks, film talks, and thematic workshops.
- -An organizer must submit a proposal for an entire event, including a title, a brief summary, number of participants and their roles, and general outline of the event, through an online submission system by the deadline announced by the local organizing committee.
- -All participants with roles, not including general attendees, must be listed.
- -All information must be written in English.
- -An event lasts 90 minutes at maximum. If an organizer desires to use more than 90 minutes for the event, a separate inquiry must be made to the Secretariat at iars.seoul.2025@gmail.com prior to the submission of proposal.
- •Individual Papers
- ■Format of Operation
- •The basic format of panels of the Conference is 10 to 15 minute presentations followed by an open discussion amongst panelists and general attendees.
- •Each panel will consist of at least three presenters and one chair. A chair is in charge of the entire panel, including management of time, order of presentation, etc. A discussant(s) may be included in case of group panel proposals.
- •In case of group panel submission, the organizer (an individual or an institution) is responsible for all expenses related to organizing the panel, including interpretation fees.
- •The Conference does not require presenters to submit full papers. However, any individual interested in publishing materials can contact the editors of the Journal of Reconciliation Studies via email at journal.reconciliation.studies@gmail.com.
- •Presenters are highly recommended to prepare PowerPoint presentation materials. If materials are available, presenters are requested to send them a file (.pptx or .pdf) to the Secretariat at iars.seoul.2025@gmail.com by the starting date of the conference or have their presentation materials ready on a USB drive (memory stick).
- •Handout papers as presentation materials are also welcomed, but must be prepared individually. The Conference does not provide copies of handout papers.
- •Each presentation room will be equipped with a computer, a screen and a projector. Each computer will be equipped with the Microsoft Office suite. Any inquiry related to additional equipment must be made to the Secretariat at iars.seoul.2025@gmail.com before the starting date of the conference.
- ■Registration Fees
- •Three types of fees are associated with participating in “Seoul Conference 2025”: (1) IARS membership fees; (2) conference registration fees; (3) optional program fees.
- •All participants in roles, such as chairs, presenters, or discussants, are required to join as IARS members (link: https://www.iars-world.de/joiniars) and pay membership fees before the Conference begins.
- •Any individual desires to attend the Conference, including accompanies or general attendees, must register online by April 5, 2025. All payments made after the registration deadline are subjected to on-site payment rate. Additional registration can be made on-site in person at the registration desk on the date of the Conference.
- •Registration canceled before April 10, 2025 will be refunded 50% of the registration fee paid. However, cancellations received as of April 11, 2025 and no-shows will not be refunded. All cancellations must be sent in email directly to the Secretariat at iars.seoul.2025@gmail.com.
- ■Secretariat Responsibilities
- •The Secretariat is responsible for the overall operation, management, and budget execution of the Conference, and handles the Guideline for the Conference.
- •The Secretariat does not operate or manage panels registered as group panels, and each coordinator (an individual or an institution) of the panel must adhere to the Guideline provided by the Secretariat.
- •The Secretariat does not handle tasks related to printing, copying, or scanning, for individuals or group panels during the Conference.
- •The Secretariat, with the consultation of organizing and executive committees, reserves the right to adjust conference fees as needed to ensure the smooth operation of the Conference.
